The direct answer
The usual limit is 50% of the lesser of the amount incurred and a reasonable amount, with specific exceptions. A meal still needs a business purpose before that limit is considered. Travel meals are not automatically exempt from it. Record who attended and why the meeting related to earning income, rather than keeping only a restaurant’s total.
Record the business purpose promptly
A restaurant receipt identifies a purchase, but often does not explain why it relates to the business. Add a brief note of the meeting purpose and relevant participants while the details are fresh. Separate personal gatherings and mixed events. Keep the itemized bill as well as proof of payment, especially where a card statement shows only the restaurant name.
Distinguish the payment from the allowable claim
The cash paid and the deductible amount may differ because meals and entertainment have limitations and exceptions. Let the preparer apply the appropriate treatment instead of adjusting receipts inconsistently throughout the year. Record reimbursements and client billings clearly so the same cost is not counted twice or treated as a wholly unreimbursed expense.
What to gather before the review
- Itemized receipts and payment confirmation
- Business-purpose and participant notes
- Details of reimbursements or charges to clients
Can I claim the full bill if business was discussed?
A business conversation does not automatically make the whole bill deductible. The connection to earning income, personal elements and applicable limits all need to be considered.
Your next step
Separate personal meals, client meetings and travel meals and retain itemized receipts.
