The direct answer
Uncollectible rent can qualify when it was included in income, remains owing at year-end and became uncollectible during the year. Late rent alone is not enough. Keep evidence of unsuccessful collection or other facts establishing the bad debt. This is different from simply omitting an earned amount because no cash arrived.
Keep a tenant-by-tenant ledger
Record rent due, payments received, arrears, concessions and later collections separately. This creates a clearer picture than a yearly bank-deposit total. Retain the lease and relevant correspondence so the preparer can see whether an amount was earned, forgiven, disputed or potentially uncollectible. Those are different situations and may need different treatment.
Preserve the collection history
An unpaid balance should not simply disappear from the ledger. Explain what happened and when, including any settlement or recovery. If a deduction was taken in an earlier year, identify it when money is later collected. The records should allow someone to trace the amount from the original rent obligation through the final outcome.
What to gather before the review
- Lease and rent ledger
- Collection correspondence and settlement records
- Earlier write-offs and later recoveries
Can I leave unpaid rent out because it never reached my bank?
Do not assume a cash-only approach is correct. The applicable reporting method and bad-debt requirements need to be reviewed using the rent history and facts about collection.
Your next step
Prepare a rent ledger showing the amounts charged, received, outstanding and pursued.
