An employment-related share award and a later sale can both require reporting, but the same economic amount should not be taxed twice merely because it appears in two records. The key is reconciling the employment benefit with the investment's tax cost.

Identify what your plan actually provides

Restricted share units, restricted stock, cash-settled awards, and options are not identical. Review whether you received cash or shares, when rights vested or shares were delivered, and what the employer included in income.

When shares are later sold, the Canadian capital-gain calculation uses the correct adjusted cost base and selling costs. Foreign-currency transactions require Canadian-dollar figures. A brokerage statement may not contain all the Canadian employment-benefit information needed for that calculation.

Reconcile a sale made to cover withholding

A plan may sell some shares immediately to fund tax and deliver the remaining shares to you. Keep the gross award, shares sold, cash withheld, and shares retained separate. The net shares delivered alone do not describe the full transaction.

Prepare an award-by-award schedule

  • Grant, vesting, and delivery statements.
  • The employer's Canadian taxable-benefit calculation.
  • Sale confirmations, commissions, and currency details.
  • T4 slips and broker tax statements.

Ask your preparer to show how each share lot's cost was established and whether any sales were already reported elsewhere. If the employer amended the benefit, revisit the related cost records as well. This reconciliation is especially useful when changing employers or brokers, because the records needed for a future sale may no longer be easy to retrieve.
