The direct answer

Under accrual accounting, a prepaid expense is generally allocated to the year or years that receive the benefit. Paying a multi-year premium before year-end does not automatically make the full amount deductible immediately. Keep the coverage dates so your preparer can distinguish the current-year portion from amounts for later periods.

Match the policy to its coverage period

A premium paid in one month may cover more than one tax year. Give the preparer the full policy dates and invoice rather than only the bank withdrawal. If the property was acquired, sold or changed use during the coverage period, include those dates. The review needs to connect the cost with the relevant rental activity.

Track refunds and policy changes

Keep cancellation refunds, endorsements and replacement policies together. A net amount in the bank account may hide a refund for an earlier period or additional coverage for a new one. Label these adjustments so they can be reconciled with the original premium. This avoids carrying an incorrect expense forward when the property or insurer changes.

What to gather before the review

  • Policy invoice and exact coverage dates
  • Refunds, endorsements and replacement-policy records
  • Property acquisition, sale or change-of-use dates

Can I deduct the whole premium simply because I paid it this year?

Not automatically. Prepaid costs may need allocation to the period they cover. The payment date alone does not settle the amount deductible for the current rental year.

Your next step

Provide the insurance policy and payment receipt, including the start and end of coverage.
