Government assistance can affect your taxable business result even when it is called a grant, subsidy, incentive, or forgivable loan. Its purpose and conditions determine whether it increases income, reduces an expense, or reduces the tax cost of an asset.

Read the program agreement

CRA explains that grants related to operating expenses may be included in income or reduce the related expense. Assistance for capital property can reduce its capital cost or adjusted cost base. A repayable loan is different from an amount that is forgivable under the applicable terms.

Timing matters too. The date cash reaches the account is not always the only relevant date. Identify when entitlement arose, any conditions outstanding, and whether the program later required a repayment.

Avoid a double benefit

For example, a subsidy supporting employee wages must be considered alongside the wage expense. Reporting the entire wage cost while omitting the assistance can overstate the business's net cost. Keep the grant calculation with the payroll records it supports.

Prepare an assistance register

  • Program name and signed funding agreement.
  • Approval dates, amounts, and payment dates.
  • Expenses or assets funded by each amount.
  • Repayment conditions and later adjustments.

Ask the preparer to record the treatment of each program separately. If funding purchased equipment, make sure the asset schedule reflects the assistance rather than simply leaving the grant in miscellaneous revenue. Keep correspondence about eligibility reviews, because a later repayment may require a fresh tax analysis for the repayment year.
