The direct answer
It can be. When an employer-provided automobile is available and used personally, the employee’s taxable benefit needs to be calculated under the applicable rules. Commuting is generally personal driving. The company paying the invoices does not make the personal benefit disappear, and payroll reporting may be needed. Keep availability, mileage and employee repayments clear.
Track who uses the vehicle and why
Keep the vehicle agreement, availability dates and a log separating employment or business travel from personal use. The company paying the bills does not make every trip business-related. Explain whether the vehicle is owned or leased and who pays operating costs. These facts are needed to assess the applicable automobile-benefit treatment.
Coordinate the books and payroll reporting
Vehicle expenses in the corporate ledger and any taxable benefit on an employee's slip should be reviewed together. Keep reimbursements made to the company clearly identified. Do not assume that charging fuel to a personal card eliminates every possible benefit. The relevant calculations depend on the full arrangement and records for the year.
What to gather before the review
- Vehicle purchase or lease documents
- Business/personal-use log and availability information
- Operating costs, reimbursements and payroll reporting
Is there no taxable benefit if the company needs the car?
Business need does not automatically remove the consequences of personal use. The arrangement, availability, kilometres and payments must be assessed under the applicable benefit rules.
Your next step
Maintain business and personal kilometres and record when the vehicle was available to the employee.
