GST/HST and records: 10 practical business questions · Browse the 100-article collection
The direct answer
Cash payment is not itself a reason to reject a genuine eligible business cost, but it does not relax the recordkeeping requirement. Keep an invoice or receipt, supplier details, the date, purpose and evidence of payment. A cash withdrawal from your bank is not proof that the entire amount was spent on the business.
Record the purchase when it happens
Cash spending can be easy to forget because it may not appear as an identifiable business transaction on a bank statement. Ask for an itemized receipt and note the business purpose. Keep personal cash withdrawals separate from actual purchases. With a petty-cash system, reconcile the money added, receipts collected and cash remaining rather than treating the withdrawal itself as an expense.
Identify the supplier and any tax separately
A vague note saying “materials” gives little support for the purchase. Retain supplier details and the nature of the goods or services. If GST/HST is relevant, the documentation requirements still apply. Explain unusual payments or missing information early so the preparer can assess the records without assuming cash makes a claim either automatically valid or automatically invalid.
What to gather before the review
- Itemized cash receipts and supplier information
- Business-purpose notes and petty-cash reconciliation
- Relevant tax details and any missing-document explanation
Does paying cash make a legitimate expense non-deductible?
Not automatically. The expense still needs to meet the tax rules and be supported. The challenge is documenting the transaction clearly when a bank trail is limited.
Your next step
Record cash transactions when they occur and reconcile them to receipts rather than using one unexplained year-end total.
